How to Organise Corporate Christmas Gifts Across Multiple Addresses

Sending Christmas gifts to a remote team or a client list is a small fulfilment project. The gifts matter, but so do the address list, approval process and delivery plan. Agreeing those details early helps avoid last-minute corrections and inconsistent messages.

Here is a practical way to plan corporate Christmas hampers going to multiple UK addresses.

1. Agree the brief before collecting addresses

Write down the estimated number of recipients, total budget, preferred arrival window and who will approve the order. Decide whether gifts are for employees, clients or both, and whether everyone should receive the same value of gift.

Ask for a quote that separates or clearly includes the hamper, branding, VAT and delivery. Individual parcels to home addresses involve different costs from a bulk shipment to one office.

2. Choose a manageable set of gift options

For a mixed recipient list, it can help to offer a standard selection plus vegan and alcohol-free alternatives. Keep the choices clear so each recipient is allocated the right gift. Ask about allergies separately; a vegan selection is not automatically suitable for a nut allergy.

3. Confirm branding and gift messages

Decide whether you need a company message, an individual note or both. Supply the approved wording and artwork together, and nominate one person to sign off the final presentation.

Our branded and bulk gifting options can include cards, ribbons or packaging, depending on quantity, artwork and lead time. Confirm the available options in the quote before promising a particular finish internally.

4. Build one accurate recipient list

Agree the supplier's preferred format before preparing the file. A useful starting checklist is:

  • Recipient name and company name where applicable.
  • Address lines, town or city, postcode and country.
  • Gift selection and quantity.
  • Personal gift message, if agreed.
  • Delivery contact information only where required.
  • Any agreed delivery instructions.

Keep one approved version rather than several competing spreadsheets. Check for duplicate recipients, missing flat numbers and office addresses where the company has moved. Agree a final date for changes with the supplier.

5. Share recipient details securely

Home addresses are personal information. Collect only the details needed for delivery, explain their purpose to recipients and agree a secure transfer method with the supplier. Avoid placing address files in public links or sending them to a wider email group than necessary.

For Hamper Collective projects, we agree the recipient-data format and transfer arrangements before fulfilment. See our privacy policy for information about how recipient data is handled.

6. Separate dispatch dates from delivery dates

Confirm when the gifts are due to leave the warehouse and the expected delivery window. These are different milestones. Let the supplier know about office closures, unavailable recipients and any date that is essential to your campaign.

Alcohol-containing hampers may involve age-verification requirements. Discuss these when planning the recipient experience. For deliveries outside the UK, ask about feasibility before adding addresses to the final order.

7. Agree what happens after dispatch

Before the order goes ahead, confirm how tracking will be shared, who should handle delivery queries and what happens if an address is incorrect or a delivery is missed. Give your internal contact the order reference and supplier details so queries go to the right person.

A simple internal tracker can record approval, address-list completion, artwork sign-off, dispatch and any unresolved delivery questions. It does not need to contain more personal information than necessary.

Send us a brief

You do not need a finished address list to begin. Tell us your estimated quantity, budget per person, preferred delivery date and whether gifts are going to offices or individual homes. We can recommend suitable hampers and agree the next steps.
